Make Changes to a Live Project

Adjust start date, extend end dates, end fieldwork early, edit your task lists

You can make many changes to your project after initially setting it up. This article outlines best practice to ensure a smooth participant experience.

ONLY do this before inviting participants.

If participants have already been invited, do not change the start date. Leaving it as is technically has no adverse implications for participants.

This is absolutely fine to do at any stage.

For scheduled or sequential tasking, first ensure all tasks will be released before your new chosen end date

Use the Extend Fieldwork button located on the project card in Manage Projects.

Participants are not notified of date changes. 

Ending Fieldwork early

Fieldwork ends automatically on the scheduled end date. If you need to end it sooner:

  1. The Project Owner navigates to Manage Projects.

  2. Click End Fieldwork on the relevant project card.

Note on Participant Connection: Once fieldwork ends, participants cannot submit new uploads. However, they can reply to any comments you add to their existing uploads for seven days. After those seven days, they are fully disconnected.

Reopening Fieldwork

You can reopen fieldwork if participants are still connected to your project (i.e., within seven days of the original end date).

  1. Go to Manage Projects.

  2. Click the Extend Fieldwork button on the project card and change the date into the future. This reopens fieldwork for all participants in that target group.

  3. Crucial Action: Participants DO NOT receive an automatic notification. You must use the Group Reminder or Individual Reminder function to advise them.

💡 Scheduled Tasking Warning: If you are extending or reopening fieldwork on a Scheduled Tasking list, you must also ensure that any individual end dates set on the tasks themselves are also extended to match the new fieldwork period.

2. Modifying the Task List on a Live Project

The guidelines for modifying tasks depend on the project's tasking type.

All-at-Once Tasking

(Participants see all tasks from the moment they log in.)

Adding or Editing Tasks

Make the change in the task list. Then, immediately use the Group Reminder function to notify participants to refresh.

Recommendation: Generally, we recommend avoiding making any changes to the task list once participants have been added, but this is the necessary procedure if a critical change is needed.

Removing Tasks

1. Go to Task Completion. 2. Filter to the task/target group to check for uploads. 3. If NO uploads are submitted, you can safely delete the task. 4. Use the Group Reminder function immediately after deleting to advise participants to refresh.

ABSOLUTELY ONLY remove a task if there are NO uploads submitted to it yet.

Editing a Live Task

Same as All-at-Once: Make the edits, then send the reminder message to refresh the task list.

Recommendation: We recommend avoiding editing a task while it is live.

Adding a Task

ONLY add tasks with a future start date. This ensures participants receive the necessary push notifications when the task becomes available.

Do not add tasks that should have started in the past.

Removing a Future Task

Find the task and delete it.

This is safe to do since the task has not yet been assigned to the participants.

Sequential Tasking

(Tasks are completed in a fixed order.)

BLANKET WARNING: We strongly recommend against making any changes to a sequential task list once the project is live to prevent disruption to the user journey and data integrity.
